Privacy Policy

1. Information We Collect

Information you give us

• Registration details: your name, email address, phone number, and — depending on how you register — your team name, player/roster names (optional), sponsorship selection, and any notes you add.
• Payment: payments are processed by PayPal in PayPal’s own secure checkout window. We receive a confirmation of payment (such as a transaction ID, amount, and the payer name) so we can issue your receipt. We never see, receive, or store your card, bank, or PayPal login details — those are handled entirely by PayPal.
• Offline payments: if you arrange to pay by cash or check, a staff member records your name, the amount, the method, and who received it so we can issue a receipt.

Information collected automatically

• Basic visit counting: to understand how many people visit the site, we count page views. Each visitor is represented by a one-way daily hash of your IP address and browser type. We do not store your IP address or any information that identifies you, and the hash cannot be used to identify you or follow you from one day to the next.
• Security & delivery data: our hosting and security provider (Cloudflare) automatically processes limited technical data (such as IP address at the network level) to protect the site from abuse and deliver pages. This is standard for any website.

2. Cookies & Local Storage

This site uses only essential and functional storage. We do not use advertising cookies, marketing pixels, Google Analytics, or any cross-site tracking.

• Essential (security): Cloudflare, our security provider, may set strictly-necessary cookies to protect the site and distinguish humans from automated abuse. These are required for the site to work securely.
• Functional (only if you use certain features): if you are a team captain and sign in to enter scores, your browser stores a login token locally (in your browser’s local storage) so you stay signed in on your device. Our scoreboard and admin tools use similar local storage to remember your view. This information stays in your browser and is not tracking.
• This notice: when you dismiss the cookie notice, we save a small flag in your browser’s local storage so we don’t show it again.
• PayPal: when you pay, PayPal opens in its own window and may set its own cookies under PayPal’s Privacy Policy.

Because we use only essential and functional storage, there is nothing optional to turn on or off — the notice is simply to inform you. You can clear cookies and local storage at any time in your browser settings (doing so will sign a captain out of score entry).

3. How We Use Your Information

• To process your registration and payment and send your receipt and confirmation.
• To contact you about the tournament (schedule, logistics, roster, or changes).
• To organize teams, flights, and live scoring for the event.
• To keep accurate financial and registration records for the Foundation.
• To protect the site and prevent fraud or abuse.

4. How We Share Information

We share information only with the service providers needed to run the tournament, and only as needed:

• PayPal — to process payments.
• Resend — to deliver your receipt and confirmation emails on our behalf.
• Cloudflare — to host the site, provide security, and route email.

We may also share information if required by law, or to protect the rights, safety, or property of the Foundation, our participants, or others. We do not sell or rent your personal information, and we do not share it for advertising.

5. Data Retention

We keep registration and payment records for as long as needed to run the tournament and to meet the Foundation’s recordkeeping, accounting, and legal obligations, then we delete or archive them. You can ask us to delete information that we are not required to keep (see below).

6. Your Choices & Rights

You can ask us to access, correct, or delete the personal information you provided. To make a request, email golf@milledgevillepdga.gov. We will respond within a reasonable time. Depending on where you live, you may have additional rights under local law.

7. Children’s Privacy

This site is intended for adults registering for the tournament. We do not knowingly collect personal information from children under 13. If you believe a child provided us information, contact us and we will delete it.

8. Security

We use reputable providers and industry-standard protections (including encryption in transit and PayPal-hosted payment fields so we never handle card data). No method of transmission or storage is 100% secure, but we take reasonable steps to protect your information.

9. Changes to This Policy

We may update this policy from time to time. When we do, we will change the “Last updated” date above. Material changes will be reflected on this page.
